• Account data: Email address, display name, and profile photo when you register.
• Usage data: Pages visited, features used, and timestamps — collected anonymously via Firebase Analytics.
• Upload metadata: File name and size of Excel files uploaded to KMC Data Extraction (file content is processed locally in your browser and never uploaded to our servers).
• Support messages: Name, email, and message content when you contact us.
• Technical data: IP address, browser type, and device information for security purposes.

2. How We Use Your Data

• Provide, operate, and maintain our services
• Authenticate your identity and keep your account secure
• Personalise your experience (e.g. dark mode preference, display name)
• Respond to support requests sent to cymansquare@outlook.com
• Send important service announcements (no marketing without consent)
• Analyse anonymous usage patterns to improve the product

3. Data Sharing and Disclosure

We do not sell your personal data. We share data only in these cases:

• Firebase (Google): Authentication, database, and storage are powered by Google Firebase. Your data is stored on Google's servers subject to Google's Privacy Policy.
• EmailJS: Your support messages are transmitted via EmailJS to our inbox. Message content is not retained by EmailJS beyond delivery.
• Legal obligation: If required by law, court order, or government authority.

4. Data Retention

• Account data: Retained until you delete your account.
• KMC upload records: Automatically deleted after 30 days.
• Support messages: Retained for up to 12 months for quality and legal purposes.
• Analytics data: Anonymised; retained per Google's standard retention policy (up to 26 months).

5. Data Security

We implement industry-standard security measures including:

• HTTPS/TLS encryption for all data in transit
• Firebase Security Rules restricting database access to authenticated users only
• Firebase Authentication for secure credential management

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but we are committed to protecting your data.

6. Your Data Rights

• Access: Request a copy of the data we hold about you.
• Correction: Update your display name and photo via the Profile tab in your dashboard.
• Deletion: Email us at cymansquare@outlook.com to request account deletion. All associated data will be removed within 7 business days.
• Portability: Export your Project Management data as CSV from the Reports section.
• Opt-out of analytics: Use the Google Analytics opt-out browser add-on.

7. Children's Privacy

Our services are not intended for children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

8. Changes to This Policy

We may update this Privacy Policy periodically. Significant changes will be announced on our website. Your continued use of our services after changes take effect constitutes acceptance.
